Start planning a destination wedding 12 to 18 months before your date. That is the honest answer, and the rest of this guide explains why the couples who start early consistently pay less and choose from more — and exactly what starts disappearing as the calendar tightens. The deadline nobody warns you about: room blocks
A room block is a set of rooms the resort holds for your group at a locked-in rate. It is the backbone of a destination wedding — it is what guarantees your guests can actually stay at the resort where you are getting married, at a price agreed in advance.
Here is the part that catches couples out: many resorts stop offering room blocks 30 to 90 days before the wedding date, depending on the resort. Miss that window and your guests are booking whatever rooms happen to be left, at whatever rate the resort is charging that week — and at a busy resort in high season, that can mean some of your guests cannot get a room on site at all. A wedding where half the guest list is shuttling in from a hotel down the road is harder on everyone, and it undoes much of the point of an all-inclusive wedding weekend.
Room-block pricing also tends to climb as the date approaches. The rate a resort will lock for a group fourteen months out is usually better than the one it offers at five months, because by then the resort knows how its inventory is selling. Booking early is not just about choice — it is the single biggest lever on what your guests pay.
Why early booking is a negotiating position
When you approach a resort early, you are offering them something valuable: certainty about a block of rooms and event space they have not sold yet. That is when terms move — on the room rate, on comped upgrades, on event-space flexibility. We negotiate with resorts every week, and the pattern is consistent: the earlier the conversation starts, the more room there is in it.
Close to the date, the leverage flips. The resort knows exactly how full it will be, the vendors know exactly how booked they are, and everyone prices accordingly. Vendors — photographers, décor teams, DJs, mariachi bands, hair and makeup artists — raise their prices as dates draw closer and their calendars fill. The best ones in each destination are reserved far ahead, which means a late start does not merely cost more; it quietly removes your first-choice options from the table before you ever see them.
What the 12–18 month runway actually buys you
- Your date, not a date. Popular Saturdays in high season are claimed over a year out at sought-after resorts. Early couples pick the date; later couples pick from what remains.
- The ceremony spot you actually want. - A locked room rate your guests will thank you for. Guests book flights early, budget calmly, and nobody is refreshing a booking page hoping a room opens up.
- Time for a site visit. With a long runway you can see the resort before you sign — and time the visit to the season you are marrying in.
- Negotiating room. On the package, on the block, on the extras. Wiggle room is a function of time.
Can you really plan one in six months or less?
Yes — we have done it, more than once, and done it well. It works when the couple can decide quickly, the guest list is realistic, and the planner already knows which resorts have genuine availability rather than starting the search from zero. This is honestly where working with an agency matters most: we already hold contracts with our resorts and know before we call which ones can still take a wedding of your size.
But go in with clear eyes. A six-month wedding means taking the venues, dates and vendors that are still open, paying rates with little room to move, and racing the room-block deadline from day one. It can absolutely be wonderful. It is simply a narrower, pricier version of the same wedding that patience would have bought — so if you have the time, use it.
A sensible timeline, working backwards

- 9–12 months out: Book the vendors that only exist once — photographer, entertainment, planner-coordinated décor. Send save-the-dates so guests can book inside the block early.
- 6–9 months out: Menu tastings, event flow, welcome party and excursions. Guests book flights.
- 3–6 months out: Final headcount pressure begins — chase stragglers into the room block before it closes. Confirm every vendor in writing.
- The last 90 days: Details, seating, timeline documents, transfers. If the planning started early, this stretch is admin, not crisis.
